    Tracking Worship Service Attendance

    Hi,

    I was wondering if anyone posts attendance in F1 for their worship services or how they track attendance for their worship services?

    We have automatic attendance set up  that will post attendance based on giving and we also have a response card that we record attendance from.  It's not the best system, but it gives us some data.

    We keep track of Worship Service Attendance in two ways.

    1. Our sound guys do a head count after the kids have gone downstairs for Sunday School. This obviously means that we are only counting anyone sitting in the service - any volunteers outside of the service and any children downstairs get missed.

    2. We have a card that is in our bulletin every week (called a Welcome Card) that we ask everyone - each family - to fill out. Any regular attenders just fill out their name and the date, but all 1st time visitors fill out the rest of the information requested. The problem with this is that we are obviously counting on everyone to fill our a card and this does not happen. We have been making a big push lately for everyone to fill out the card and that helps, but it is definitely not a perfect system.

     We do not use the automatic attendance based on giving because we do have people that mail in their giving check each week, but do not attend the service (they may be a shut-in or give,but not attend the church.)

    At some point we would like to move to F1's check in system, but it works all right for now. We are working really hard to keep track of anyone that attends or volunteers for any smaller activities so that we get a better idea of who is actually involved and a regular attender.

    We count the cars in the parking lot and then use a formula of 2.3 people per car.  This has turned out quite accurate compared to our head counts that the ushers did.  So, we just do the car count now.

    We have our Producers do a head count of the auditorium and then the Assistant Producer counts the atrium and the cafe areas too, then we add in the kids numbers (which are the only numbers we keep in F1). We do this for each of our services and campuses and then have a total for each. Then we have a grand total for our whole church. I do tracking of capacity for each area and growth tracking too.

    It is pretty accurate and is enlightening to know how the auitorium and kids numbers grow over a set span of time. I keep these numbers in a huge spreadsheet so I can do comparisons over a span of time.

    Our recovery ministry, The Mat, does post head counts for each of the classes and the worship experience.

    Just wondering, is this an automatic "post attendance" that you set up from the giving area to be posted somewhere else like "worship attendance"?

    You can set this up under the Ministry tab.  If any giving is attributed to a particular activity, you can set up who gets attendance posted in a "Post Attendance" manner to that activity.

    e.g. If I choose "Worship Services", "Saturday Service" - anyone who gives to that particular activity will have attendance recorded for that activity/date/time.  If someone attends three different services and gives each time, they'll get attendance each time as long as I've set up the rule and specified the activity/date for their giving.

    As noted above, if people give through other means or send in checks by proxy, this may not work, but it can help quite a bit to indicate that people attended on a particular date because we have an envelope/check from their family.

    We take an arial photo and count the missing seats, subtract from the total seats and we have a head count.
