    Keeping participant assignments up to date

    We are in our second year of using F1.  My question is regarding a best practice situation with participant assignments and what is the best way to keep them updated. 

    The more activities that one is involved with, the more participant assignments they accumulate.  After awhile, this becomes a lot of outdated information attached to their profile.  If the activity is one that runs year around and the person is moved up by grade, then 'move assignments' helps keep this clean by eliminating the assignment that they are moving out of. 

    If it is an activity that reoccurs each year but takes a break (and thus has a start and stop date), then you  end up having to create a new schedule for each year.  Now you are faced with the best way to assign them to the new schedule and they accumulate a new participant assignment each year.

    How are others handling this?  Run a report and manually delete assignments at the end of each year for any ministry activities?  Accept this as a quick history at a glance for people's involvement?

    You may not need an answer to this question any longer but I ran across your question while looking for some information for an issue I was having.  We have a problem managing outdated assignments in our adult small group ministry.  Since there is no mass action in regards to assignment deletion, we found a way to mass transfer their outdated assignments to a fake ministry in F1.  A few months ago, we created an Expired Assignments Ministry and created an activity/RLC for that ministry.  When we have a group disband, we transfer their assignments to the Expired Assignments activity/RLC.  Occasionally, we have volunteers that are looking for things to do so we have them help us "clean up" the assignments from the Expired Assignments.  There are only two of us that have read/write rights to that ministry so it isn't something that interferes in our regular work in F1.

     We are a church of 2000 with two campuses and have been using F1 since January 2006.

    When you use this method, does their involvement show up under this ministry?  Is there anyway to remove it so that no one (except the administrator) can see it?

    It doesn't show up on the dashboard because there is no active schedule associated with the activity.  However, the assignment does show in the list of assignments once that list is accessed from the dashboard.
