    Checking-in the volunteers: setup

    Hi, I'm a nube to F1, but have watched the videos and read the help screens.

    I'm trying to set up the system to be able to check-in the volunteers, print name tags for them and report how many are in each room. Somehow, the process escape me. Does anyone have a step-by-step procedure that will do this?

    Hi! The steps to check in volunteers are as follows:

    1. Create the activity (remember there are 4 steps - Activity > Activity Schedules (with recurrence) > Activity Group > Rooms & Locations). These steps are done in the Ministry tab under Activity / Room Setup. When you configure the activity, consider setting the Vol/Staff assignments drop-down list to "Activity Schedule".
    2. Optionally, you can create jobs for your volunteers (e.g., Greeter, Usher, etc.). This is done in the Ministry tab under the Staffing menu option.
    3. Optionally, you can also create staff schedules if your volunteers rotate. This is done in the Ministry tab under the Staffing menu option.
    4. Create volunteer assignments. Assign volunteers to the correct activity schedule and correct staffing schedule.
    5. Run reports. Try M3500, M3737, M3706, M3525, M3738. There are many different reports you can run to show staffing assignments. You can just type "staff" or "volunteers" in the search field to see a listing of reports.

    When you start Check-in for your activity, volunteers will be able to check-in just like participants do. The difference will be a small icon that appears when a volunteer checks in. You might want to look at the Check-in Guide too. It can be downloaded from the Education tab above. It's on the right hand side of the Education page under Downloads.
