Hi,

A coordinator in our children's ministry asked me if we could get a list of all children checked-in to our children's program by room during each service so that in the event of an emergency, fire or something else, they could account for all the children checked-in to each room.  I am sure there is probably a report that could be run to get this information but I would like to hear from other churches, what you do at each service to prepare for things like this.  Do you print out a report for each classroom at each service?  Which report do you use?  All feedback is appreciated!

We use a "double" check-in system.  All children check-in at the computer stations in our entrance area.  Then the parents also sign the child into their classroom.  In the event of emergency it is the sign-in sheet at the room entrance that is used to account for children.

15 minutes after the service begins, we run report M1025 and bring each room the roster from checkin, and have the room leader confirm each child's presence (if a child isn't present but is on the roster, we assume that the parents didn't take them to the room even though they were checked in and we cross them off the roster at the room; our kiosks are not at the rooms' entry points so this can and does happen a fair bit, especially with very young children). Once the kids on the roster are confirmed or removed, that list at the room becomes the emergency roster in case we need to evacuate the building.

Thank you so much for your reply!  I will definitely check out report m1025!  I so appreciate all of the comments and ideas!  It is awesome when we can share how we are doing things to help other churches run more smoothly and effectively for Christ!

We use Report M1029 for classroom rosters. This report can be a PDF or excel.... each one gives a little different info. One gives communication the other gives bithdate and Parent name. We prefer the PDF output but find them both really helpful!

 We've never had a plan for emergencies so we're really grateful for this report!

I'm looking for a roster to print 15 minutes after check in that includes TAG COMMENTS.  Does anyone have a report that they use that includes this info?

The M1025 report that someone mentioned already does include Tag Comments. That's the one we use too, and it seems to work great!

We use Report M1119. This gives us a list of kids checked in by room as well as tag numbers for check-out in the event of an emergency.

We just converted all of our data to F1, so we are new users. However, I believe there is a way to get what you are looking for.  Watch the new training video on check in, specific to "Active Check-in"  I believe...

·         Once everyone is checked in, you can go to Ministry Tab, Childrens, Active Check-in and see/print a list of everyone that has checked into the children’s event.  This could be printed and used for reference in the case of an emergency.  This is great because it breaks down by class/group.

We use M3045P - simple pdf by group with name, parents names, tag code, contact number and tag comment.
