This is wonderful. I recommend leaving the confidential notes in the contact form area invisible to those who don't have access. If they needed to know that there may be any kind of issues with an individual then they would already have the authorization to see confidential notes.

I recommend making the middle initial/name easy to input from the unmatched screen. Also please make the middle initial available on the contribution reports. We have numerous people who have the same first and last name and the only differentiation is the middle initial. It is a very cumbersome process at present to input the middle initial when scanning checks and entering new names. The middle initial/name does not appear on reports so I can't verify it is the correct name from the contribution reports.

I do think you should display even the existence of a note to anyone that does not have access to read notes. That being said, having a greater note level of security would be great. Obviously being able to grant either read or read/write access to notes would be great. Above that it would be great to be able to define a defined note group as "hidden" (so unless you have rights you don't see it) or as you mentioned in the video show that a note "exists" so that even though you don't have rights to the note, you can know to contact the group that does. For example "Pastoral Care" type notes could be "exists" so that you can't read them unless you have rights, but the fact that the note exists prompts someone to contact the Pastoral Care group. And "Pastoral Counseling" type notes would be hidden so that only the person with rights to the note can see it. (Okay maybe that is an idea not just a comment.) Bottom line: Until a more granular security level is in place - notes or the existence of a note should not be be visable in unless you have rights to view it.

@jschneider great feedback... adding additional security functionality for notes would be a bit out of scope for this project, but I do appreciate your explanation for why you would show the existence of a note. Everyone else agree/disagree?

Notes about children with disabilities are necessary for childcare workers/teachers; however, parents often object to this as 'labeling' their child. Assuring them that these notes are private is a useful tool.

I really like the look and feel of the new “dashboard.” I would suggest that a 10 view will suffice most of the time for us versus 20 since some contact information can be very lengthy.

Confidentiality is something that we are very sensitive about. I know churches deal with these types of items all the time but it does seem that we get more than the norm especially during these economic times. If a staff AA is viewing notes or contacts they need to know that there are confidential contact or note entries. They don’t have the need to know the details just that there ARE confidential contact items! This is VERY IMPORTANT for us.

ALL of our confidential entries are entered as Contacts. It is the workflow process that we take issue with.

I like the new process of entering Notes and Contacts. But, “Lands a’ Goshen” as my Southern mother used to say, why not tag a Contact as Confidential AT THE TIME OF ENTRY before it gets assigned. Otherwise, the originator has to send it to himself and then enter confidential information and renter the entry into the contact workflow stream. As I mentioned above we deal with a LOT of confidential information.

I know that you guys are “busier than bees in a tar bucket” as my mom used say.

BTW: Yes I could write a book on her Southern colloquialisms.

There needs to be a separate right for deleting a note that from the right to read or write notes. We do not want it too easy to delete a note.

Agree there should be a count of notes visible even if the person does not have rights. At summary or drill down display the name of the person who posted the note. That person can be contacted if there is a reason to need to view.

Limit the standard display to the last 5. Displaying more can be done by clicking the View All. In this way vertical scrolling is reduced

I would love to see the fact that there is a confidential note be visible. It may lead us to information we need without knowing the detail of the confidential note. I would also like to see Household Contacts listed as well as Individual Contact on the household view. The thing that would help me the MOST is if I could do a mass update in my tasks with my contacts. If mailing an invitation to 30 families I am having to mannually update that each family got the invitation. I would like a mass update similar to mass close that would leave the contact open.

I like the idea of informing folks when there is a confidential note, but not letting the Users without rights actually open the note. As it is, Users don't know there are any notes, and (at least in our church) are not in the habit to check.

I would like the ease of access for notes and contacts, I feel like I have to dig for them now. Agree that confidential notes need to be controlled through rights/permissions. Agree with others to reduce from 20 visible to 10 or even 5 with ability to "see more".

Please leave the confidential notes invisible. I think it will peak unnecessary curiosity for portal users that don't have confidential note viewing rights . . . and that's how rumors get started.

Curtis - I so appreciate the way you want to build a software to help us have ministry for now and for generations to come. Thank you for asking for our input in building the kingdom.

I would like to suggest that we combine the Notes and Contact area. See example below. Then security could be based on these choices.

Example 1: Go to the new "Connections" screen"

What would you like to do: (Drop down box)

(Contact form)

(Notes)

Is "Action Required": (Drop down box)

(Yes)

(No)

If yes, send information to: (Drop down box)

(send info to a ministry)

(send info to a Staff person)

(send info to a Volunteer)

If no, action is required: (save Note as stated)

Text box: ( )

Save info: (Yes)

For example: Then we could see that John Doe went to the New Believer's Class (action sent to the ministry), plus a Volunteer could leave a note saying that they called him and thanked him for coming to church, then he completed a Volunteer form, the Background check was done, and now is staffed to a Volunteer position, etc.

If ALL this information was listed in 1 place, we would be able to do more ministry instead of trying to find it. SR

We agree that confidential notes as well as contact notes should remain invisible unless that person has the security rights to view them. This is VERY IMPORTANT to us as well since there is personal, confidential information that should not be seen by everyone who has access to F1.

Being a large church, we have volunteers and/or interns who work in areas that input data into F1, and we just don't want them to have visibility to confidential notes. We want to protect our church members privacy as much as possible.

Otherwise, we like the concept of making the overall information available in one spot. God Bless!
