Mass Action preview (wanna change status for 1000 people at once?)

Ever wish you could quickly change the status of a group of people?  Add a contact record?  Create an assignment?  Add an attribute?  Of course the only reason I ask a question with such an obvious answer is because I want you to watch my latest video...

Does the mass action security right also mean I need the People Edit (status, attributes) and People Contact (add contact items) and all Ministry access to make the assignments or is this security right include the necessary access to make mass changes?

As far as the security question posed, we have decided that there would be one new security right... "mass action".  You will need the mass action security right and whatever right is needed to perform the same action individually.  Is that appropriate?

I think this is awesome!! I can see many uses for it but I do have a question. For example, when we make a family members we make the children "Child of Member". How would we go about changing the entire household in this way or would it not be possible at this time?

Can you make it so that I could change an attribute start and end date? In our college ministry, we have college members, and that membership runs out every year and can be renewed. It would be awesome to be able to do that all in onc swoop.

It would be great to have reports that show which members had changes made by Mass Action and by which portal user; same ideas as the A1047. I would also like to be able to move a large group of people from one Group (people list) to another Group.

I can't wait for this to go live!

I can hardly wait for this feature!  Thank you for getting this ready to roll out.  I think it looks great!  I love that the number of individual records selected is bold and prominent at the top of the screen. I like the saftey feature of the dialog box telling me what I am about to do and asking me if I really want to do this.  All of these are great tools to help safeguard against errors.  The ability to drill down and see what happened within a mass update is great - a real bonus.

One of the scenarios where mass action is really helpful is when you have to change the status of an entire household.  (Often mom or dad will contact the church to tell them they have moved away and sometimes people forget to make each person in the family inactive.)  Would it be possible to add a feature that would allow us to apply the action to every person in a household as well as just the individual selected?  Obviously this would always apply - so it would be nice to be able to say "Yes - apply it to everyone in the household" Or "No, this only applies to each individual."

Mass action - more comments - As far as priorities, I would list them as status, assignments, contacts, & attributes. When you say assignments - does that include those in the volunteer pipeline?  (This would be an essential area for Eagle Brook.) Other fields we would like to see have the option of mass update are family position, marital status and even gender.

Excellent communication to start dialogue.

1.On the second page when you select Mass Action and show the number of individuals it would be good to show the source if available, i.e. Harris 30-40, Report Name, or "Query", etc.

2.We use Status Comments when we drop individuals.  It would be good to have an option to append comments, replace comments, or blank comments.

3.We make status actions on households when there in no activity.  It would be good to have a Mass Action to apply to all individuals in the household.

4.History on mass actions on an individual record can be useful at times.  It is not a high priority for us.

5.In addition to making assignments we also must have the ability to remove assignments. This helps us keep clean between attendance and assignments

6.Our priority would be remove assignments, make assignments, change status, change attributes

I am really looking forward to the mass action capabililty in Fellowship One!  Our #1 priority at Gateway Church would be the ability to make mass contact notes on contact items.  We currently had over 6000 contacts entered in our database, after our pastor spoke one weekend about volunteerism. We need the ability to make a mass notes to each ministry's contact items.

Our Membership Ministry received over 1100 contacts and desperately needs the ability to make a mass notation to all 1100 contacts that an email was sent or a letter was mailed to all of those who are interested in serving.

This is fantastic! I am looking forward to begin utilizing thse new features as soon as they are available. We are currently working on several projects which are involving mass action on status change, attributes, contacts and assignments. This would be a major time saver. It looks like you are definitely on track. Let us know if you need someone to test it!

My concern today is that I cannot do a mass action close to get rid of names in my (Home/assignments/manage/mass action) close.  The names are accumulating and I have to manage individually which is time consuming.  It would help to know that you are developing something instead of thinking each time we cannot perform a task that there is another glitch to deal with.  Could you just send everyone an (Under construction flag - pardon our 'dust' type of comment so we are prepared to wait or make adjustments.  Thank you.

I'm sure when you finish everyone who uses your product will love the enhancements but in the meantime there is some frustration on our part.  Hope you understand.

I like the change.  One thing that I was hoping the Mass Update would cover is new from checkin and new from website.  I would love to be able to go in and change the status of new from checkin if people haven't come for a particular amount of time.  The way I'm envisioning it is to have it set up similar to a query builder with the options to do a mass update after you get your search results back.

Ann, you asked "when we make a family members we make the children "Child of Member". How would we go about changing the entire household in this way".  An additional project we are putting the finishing touches on is one that allows you to "pivot" the list of people to find all "parents of..." and "children of...".  So you could take the group of people, mass change the status to member, flip the data to show "children of..." and then change their status to child of member.  In addition, we are currently discussing how we can make it easier to change the status for every member of a household within the household view.

Some have asked about the audit trail.  We will be capturing that data and will therefore be able to report on it.  In addition, we are currently determining if we can show some of this detail directly in the app (without running reports).

As far as a time frame for this release... we will get it out just as soon as we can; sorry I don't have a more concrete timing estimate for you. Three of our developers (Tim Hardy, Chad Meyer, and Jas Singh) recently put in a lot of overtime to make sure that they could demonstrate this feature working in a rudimentary way to us last Friday; I am excited to say that it is working.  We still have much work to do before this will be available to you, but the extra effort these guys are putting in gives me great hope that we will see it soon; pray that these guys are given clarity of mind to build this solution in the right way.

Moe, when you say "When you say assignments - does that include those in the volunteer pipeline?"... what do you mean by that?  Certainly I can take a list of people (including those that are in the pipeline) and give them an assignment; the problem with that is that it bypasses the reason for vol pipline... the pipeline!  I think I may be missing something here.

sGilliam, you will be able to take the lists you refer to (new from web, for example) and make the change en masse.

This sounds great. Three things I'd like to ask about.

1) In addition to creating assignments and adding attributes would it be possible to do a mass remove of the attribute or assignment from anyone in the group that has a selected attribute or assignment. This would really help us in cleaning up our files on repetitive events without repetitive attendance. For example we have training classes people are to attend once but we have over and over again. We register people for them and then we record attendance.  If we could then create a group of those who attended and clear their participant assignments before the next class it would help. (This would also help if it worked on weblink forms where we have submission limits, so we don't need to create new forms)

2) Would it be possible to make it a mass change function where we select a current status, attribute or assignment and it would change all those in the group possessing the selected status, attribute or assignment to the new one. (This would be low priority because you could effectively do this by creating the original group using the selected criteria. It would just save a step.)

3) This process has the potential of being very disruptive and since you spoke of maintaining an audit trail, would it be possible to add an undo function to reverse the mass action taken. For changes, if the audit trail maintained a "from" and "to" for the action, it could reverse the changes it made. For creates, it could delete what it had created. (In fact you wouldn't need individual "to" information only general "to" information for the mass actions since they would all be the same.)

I cannot find Security Rights or the Mass Actions function on the Groups.

Am I doing something wrong or is it not yet available?

If not available, when will it be?

Any ETA update on this....MUCH NEEDED.. We just launched and I would love this for Participant Assignments based on people who attended a certain class.

In other words, if it were possible to generate a group of people that attended a Sunday School Class today - we could then isolate those that are not yet participants and then assign them to that class..

Looking forward to this feature (unless someone has another way for me to accomplish this in the interim).

Thanks!
