    Scholarships and Fundraisers

    We need to be able to add scholarship payments and fund raising money payments in our camps that are using weblink. There is no area in the drop down for other. How do other churches do this? Any suggestions?

    One way that we are trying is to set up promotional codes for scholarships.  Our staff has the ability to make payments using these promo codes.

    What does that look like? Our church has issues with that, too.  For instance, if we have 10 kids with fundraiser money to put toward camp, how do we apply that to their balance?  The money the kids earn do not actually go into their hands, but they do get credit for what they earn.  Does that make sense?

    We use the promotion code for both the scholarship and fundraiser purpose. Here is our process

    Scholarships: Our students fill out a sholarship application; once we have approved their application, I create a promotional code for that person and they enter this code when completing their registration. (I usually use their last name as their promotional code.The codes are case sensitive.) You can set the promotional code to give them a set amount off or a percentage off. You can also set a date range aorund which the promotional code can be used and inactivate it if needed.

    You cannot seet a limit  on how many people can use a promotional code, so any person who gets the code can use it.  We have not experienced any problems with people using a code that was not given to them.

    You could use the promotional code the same way for the fundraiser issue. If students are getting varying amounts of money than a promotional code would need to be set up for each amount. If it is a set amount, just set up one promotional code and give it out to the appropriate people.

    Here is a listing of the promotional codes that I used for a past event to give you an idea of what they look like.

    (Keep in mind that if you clone a form for a future event the promotional codes carry over. If there is no end date then a registrant could enter their promotional code again and  get the discount that they received for the first event. This is why it is important to inactivate or use date ranges.)

    We had some problems with this too. We do scholarships and give a discount for siblings. For scholarships we did create promo codes and as they are approved tell those to the people getting scholarships.  We wanted to add the siblings code after the down payment was made so we used the adjustment feature and then emailed them a receipt showing the balance due. This seems to be working well! It gives you the option to have some control.
