    Participant Assignments and Closed Rooms

    At our Church the nursery wing is fully staffed and usually all rooms are open on Sundays, but only a few rooms are open during our Saturday evening worship services.  This is causing some mixups in our participant assignments, particularly when a family comes Saturday evening one week and Sunday morning the next week.  Does anyone else have this sort of scenario, and how do you handle this in F1?

    For example, our nursery is divided into the following rooms and age groups:
    0-4 months - Ladybug
    5-7 months - Busy Bee
    8-10 months - Firefly
    11-13 months - Sea Turtle
    14-16 months - Sea Otter
    17-19 months - Angelfish
    20-23 months - Dragonfly
     
    Sunday morning all rooms are usually open, but on a Saturday evening several rooms are combined into one.  Usually only the Firefly and Dragonfly rooms are open (Ladybug and Busy Bee kids are combined with the Firefly kids, etc...).  This can vary slightly week to week depending on attendance and available volunteers.  The way we currently handle this for Check-in is we close the other rooms in F1 and the Check-in staff assign kids to the correct room as needed.
     
    Our nursery activity is currently set to update participant assignments to the last attended room.  This means that a 2 month old that comes Saturday night is assigned to Firefly.  Then when they come on Sunday morning F1 wants to put them in Firefly when they should be in Ladybug.  We could turn the auto assignment off, but then the Check-In staff on Saturday evening will always have to adjust for the regular Saturday evening attendees if their assigned room is closed.
     
    As you can see this is sort of a catch-22.  Any ideas/suggestions?  Does anyone else have a setup similar to this?  If so, how do you handle attendance and participant assignments in F1?

    Greg,

       You can handle this using two different methods as outlined below:

    1. You can create a different Activity specifically for Saturday night's room structures and age groups.
    2. You can keep the Activity as is and have all of the rooms open on Saturday night.  When children are checked into a room that is combined into another room... just take the child to that room.  The Room, Locations, Class (RLC) don't have to be a true physical room.  It can be a virtual room such as the 5-7 Months - Busy Bees which will be merged with anoother group of children in a combined physical room.

    I prefer option 2 as it doesn't matter if a family comes on Saturday or Sunday, their participant assignments will always be correct.  Case in point... if they move up from the Ladybug RLC to the Busy Bee on Sunday morning it's correct if there's only one Activity.  If there are two different activities, this change of participant assignment is not replicated between both activities.
