    Benevolence Contacts and Notes

    I would like to hear how other churches handle their benevolence ministry in Fellowship One.  We are trying to setup a process where our Benevolence person has some volunteer helpers who have an F1 portal login.  We want our volunteers to be able to help contact the families that have asked for help whether it is financial related or transportation related or anything else.  We were thinking that a contact could be entered for the volunteer and the volunteer could keep track of their communication with the family through contacts, however we don't want any confidential information  regarding their situation entered as a contact.  Mainly, because if you have access to view confidential contacts, you can see them for any ministry not just the one you work with.  So, we thought they could enter their notes about the situation in benevolence notes (a note type we set up as confidential).  We can select who has access to these notes and who don't whereas with the contacts, it opens all ministries confidential contacts if you give them that access right.  Thanks for any input you can share!  We are on a mission to meet people's needs and want to know how best to track it.

    Hi Crystal, 

    We've been using Notes with our benevolence volunteers for a few weeks now. We used to have them email a staff person, and then she would put the info in as a confidential benevolence note. So now we're experimenting with having the volunteers put the notes in themselves. A couple of them were intimidated with learning F1, but after a little training,  it seems to be working out great! They can enter a note and update it as they have more conversations with people, or create another note if they want.

    Only a few portal users have access to the benevolence notes. It seems to be much more secure to do it that way than with a confidential contact, like you said.

    I hope your implementation process goes well! It's always exciting to get another ministry to use Fellowship One more effectively. :)

    Thanks for your input!  I have one more question....do you have a certain status you put on families that you help for benevolence that do not regularly attend your church?  We are looking at creating a status sort of an "inactive attender" (but we don't like that term).  Let me know if  you do.

    We have a status called "Community Member" that we use for people in that situation or someone that came to a community event, but doesn't necessarily attend the church.

    Thanks Alyssa for your input!  Any other churches out there have a particular status they use for people that do not attend your church regularly but have been helped through benevolence or maybe came to 1 outreach event?

    We create a status under Inactive for these.  i.e. Event Only or Benevolence only.  That way we use the Attendee group to simply identify those who are connected in the life of the church as an attendee.
