    Mail Merge Data

    Could someone please share with me how you do Mail Merges within F1?

    I would like to mail letters addressed to the Head & Spouse of distinct households.  I am unable to find a report that gives me the option to have two colums:  one for HeadFirstName & one for SpouseFirstName. 

    Has anyone else found a way to tackle this issue?

    Hi Renee,


    It typically depends on what data you are trying to pull. There are many reports that utilize the "Show Distinct Households Only" or even on an export in the application, you can choose "Unique Households". For mail merge purposes, I have seen several different solutions.

    In my opinion, you do not need the names in seperate fields. Most of the time, when you are retrieving households on the report, you will have household_first_name and household_last_name. The household_first_name field will be a representation of the head and spouse of the household. So on the mail merge field, you would select household_first_name as the first_name and household_last_name as the last_name.

    In some instances, you may even get just one field called household_name which would be the head and spouse with their last name (i.e. John (head) and Jane (spouse) Smith). On the mail merge, you would choose household_name as the first_name and leave the last_name unmatched (or vice versa).

    The tricky part comes to matching the fields in the excel file to the mail merge fields.

    Thank you, thank you, thank you!!  That worked almost perfectly!! I didn't realize that HHFirstName was both husband & wife first name.

     
    Here is another problem I just noticed.  When I run P1000E and I have wife who is a member but not her husband, he still shows up on the member list because he is listed as HH.  Any ideas??

    Hi Renee,

    The husband and wife (head and spouse) will always show as the household name unless one of the members is deceased. We do have some reports where the names that are captured the field to use for a mail merge is determined in the logic of the report. I would submit a support incident asking for a specific report for the data points you are looking to bring together in the one name field. If we don't already have a report that does what you need, perhaps we can build a new one.
