    envelope lists

    We are running into a major issue when trying to create the envelope list to send to the company that processes our contribution envelopes. We have MANY contributors within our church who want to receive envelopes in the format "Mr. and Mrs. John Doe" or even "John and Jane Doe". That's not such a big deal since I can use the household name for those envelopes and get it in the format of "John and Jane Doe". The issue is that some couples want separate envelopes, or the wife gives but not the husband, and many children within the church receive envelopes also. What this means is that I have to run an envelope list and then manually go through the list. This is becoming a huge problem since we have just gone to a quarterly rather than a yearly mailing and because our envelope list now exceeds 2600 names. Anyone else running into issues with this type of thing who might have some ideas?

    Have you considered using attribute tags to indicate whether people want Household or Individual envelopes?  That may result in needing to generate multiple Envelope Lists, but could be useful for these scenarios.  You may also want to check with our Report department through a support ticket.  They may have some creative ideas on how to accomplish what you're trying to do.

    I don't know who you're using for Envelope processing, but would they work with you to perhaps do a some of the processing?  e.g. If John and Mary Smith both have Envelope #254, combine their names.  Children could be given their own envelope numbers.  If you're pulling the list into Excel, you could probably program some macros or write some formulas to generate the envelope names and numbers.  I'm not an Excel expert, but I think it can be done with a little trial and error.  I know that if your Envelope Processor uses a database back-end, they should be able to write some code to do combinations such as the above, but it may come at a cost for them to write the code.

    Have you thought about using Report G5018E?  It lists the envelope number, the household associated with that number and also the individual associated with the number.  When I pull this list, I hide the household listing and use the individual list because the husband and wife are associated together.  The child or  person getting separate envelopes are in the individual list. Then you can sort it by envelop number or last name.

    This still doesn't show the husband and wife together unless you use the household listing. I need the address to show "John and Jane Doe" not simply "John Doe".

    I have the exact same issue. We send out monthly envelopes and our list is approximately 1500, so I totally understand your frustration. I submitted a support ticket about a year ago but nothing came of the issue. To be honest with you, with all the positives we get from F1, if this is the worse thing...so be it! But I would love a solution in the future.

    I use Report G5014E and make the appropriate changes. This report gives me the Household Names and the Individual Names. For my report to the envelope company I use the Household Name unless it's a Spouse or Child who has the envelope number. I hope that makes sense and helps!
