Background Check Polices/Procedures

We are new to running background checks in Fellowship One. In the past each ministry has been allowed to run their own background checks, review them, and approve/disapprove. What we have found is that each ministry has different requirements for approval/disapproval.

In an effort as to not reinvent the wheel, would anyone be willing to share your policies regarding background checks, who is allowed to see them, your approval process, etc?

I am interested in learning how other churches are keeping track of their volunteer pools through Fellowship One? I would like to track volunteers that are available to help with special projects and have already been through the necessary interviews and background checks.

Do any of your churches offer potential volunteers the opportunity to try out several positions before committing?

Checking-in the volunteers: setup

Hi, I'm a nube to F1, but have watched the videos and read the help screens.

I'm trying to set up the system to be able to check-in the volunteers, print name tags for them and report how many are in each room. Somehow, the process escape me. Does anyone have a step-by-step procedure that will do this?

Hey Friends,

As our church gets larger, I have a growing problem. With 83% of our church membership & 41% of our regular attenders involved in ministry, often times keeping up with the scheduling of volunteers is really difficult.

If someone serves in children's twice a month and also is on the prayer team during the service once a month, keeping all of this straight becomes so confusing. Especially when most ministries do their own scheduling.

How do you schedule your volunteers? Do you use F1 or another software? I would love your feedback!

Registration Volunteers

In our current setup, we have several volunteers that are not assigned to an actual classroom (registration individuals, Large Group Volunteers, etc). We are looking to go live next weekend with using the Check-in system for volunteers, but I am unsure of how to handle these individuals. Do I setup a "room/location" for these folks? How do I get their positions to show up in the check-in system?

Sub Volunteers checking with new 2.5

We ask our volunteers to find their own sub when they cannot serve from a pool of volunteers that already serve in that area. we are running into an issue with the new 2.5 check that if the sub does not have a staffing assignment to that particular week they cannot check in. Does anyone else expect this of their volunteers and/or have you run into this issue at all?

Volunteer Pipeline for VERY basic volunteering

I've looked in many places for this answer and have not yet found it...

We utilize many different types of volunteers, from greeters to trained counselors. For the Volunteer Pipeline, it seems it is built to handle the volunteers that have a great deal of requirements before serving, such as a background check, etc. However, if we bring in a volunteer greeter, all he/she is required to do is smile, shake hands, and say "welcome to Highlands." There is no real interview, no real (formal) training, and thus no real need for the full-blown volunteer pipeline. That's where I'm struggling. What do you recommend as a setup for someone to say they are interested in volunteering for a role that doesn't have a lot of requirements so that they can be integrated as a volunteer and put on a staffing schedule?

Setting up multiple staff schedules for one activity-need advice

We are just now delving into the world of staff schedules. We have a guest reception each Sunday morning, and there is a group of volunteers who are scheduled to work. The person that has been in charge of scheduling this usually takes 1/2 of the group and schedules them for a three month period (each couple usually only works 1 or 2 times within the three month period). Then, the other 1/2 of the group gets scheduled for the next 3 month period. So, in a given year, each person or couple would work 2 to 4 times.

When I try to set up a recurring schedule for this, I'm having a little trouble. It looks like I can either (1) set up two sets of schedules that recur on a 3 month period and then go in and change the beginning date of the schedule when that 3 month period is up or (2) set up an annual schedule for each sunday of each month. With this one, I would assign a volunteer to work the 1st Sunday of every January and June, etc.

Is there another way to set up these schedules or am I on track with my assumption above?

Background checks

Does anyone process background checks for volunteers on an annual or recurring basis? If so, what is the best way to use F1 to process? Is it easiest simply to ask volunteers to submit a new application on an annual basis, and if so, what is the best way to track who has done this?

Access to the Volunteer Interest Forms

The functionality of creating or editing Volunteer Interest forms should be moved from the Admin Tab to the Ministry tab. I should not have to give users rights to the Admin tab to create or edit these forms. I should also not have to manage the editing of these forms as the system administrator.

Background Checks Approved

We are in process of planning for a large festival type two day rock show for our youth. We would like to use the pipeline for our congregation to go on to volunteer for this event, however some of the people will already have met the background check requirement that will be necessary for certain volunteer positions (but not all). If they go into the pipeline via our website to volunteer it seems that the system prompts for another background check and does not recognize that he has already met this requirement. Is there any way to have it recognize that one requirement has been met and only prompt for the requirements that have not been met? Or is it possible before we submit them from the narrow selections phase we can flag it to cancel the background check for certain people if we look and see they already have one?

Requirements Portion of Volunteer Pipeline

We've recently begun to implement the volunteer pipeline and are a little confused, or just need some explanation, as to why the requirements section is passed back to the volunteer coordinator. At least in our church, though I don't know about others, requirements are taken care of and tracked by the individual ministries. It seems like an extra step to communicate that with the volunteer coordinator, something we're trying to avoid as we're "convincing" people this is a good thing to use. To get around this, the only thing we've thought up is to give someone in that specific ministry volunteer management security rights, though a little risky since then they'd have access to all of the volunteer submissions. We were just wondering the thought process behind this step being the way it is and wondering if there's a better suggestion for us to work with it. Thanks.

We're getting ready to begin funneling volunteers through the pipeline and I'd like to get some feedback from other churches as we begin to look at our volunteer process within the children's ministry and how to incorporate the volunteer pipeline into it. I want to create a survey of gifts. Then I want to be able to query that collection of data in terms of "who will fit this task". As I read the volunteer management instructions, it allows querying for "what tasks (jobs) will fit this person". Is there a way to search from the job perspective to see which volunteers will fit it?
