    Large Outreach Events with No Pre-Registrations..

    Hi,I was wondering what if there are others that use FellowshipOne for their Large events. We are planning our annual Halloween Outreach/Fun Night, and looking at using Fellowship One to help us grab demographic Information as we have people Come and Pay and Enter the Campus. The Event Will have between 9,000 and 10,000 people attending. We are looking to track things such as families, number of children, etc... The event will have no Pre-Registration, and everything will be done at the door. Has anyone used Fone for this before or is it even possible?

    Hi Jonathon!  We've used F1 two years in a row for our Easter Egg Hunt, both years running about 5000 people.  The first year was a disaster.  We didn't have pre-registration, and we had one start time so 5000 people arrived at the same time and bombarded our check-in kiosks.  Needless to say, they were not very happy with us!

    This last Easter, we did things a little different.  We advertised four different check-in times, which really helped with traffic flow. We also handed people forms to fill out as they waited in line to check-in. Once they reached the check-in kiosk, they handed our volunteer the form and the volunteer input their data.  At the same time, another volunteer at the kiosk handed each child their goodie bag.

    All of these things really helped the check-in process go smoothly, allowing us to have valuable information after the event.  Another thing that really helped us was to create an option for Pre-Registration on our website.  We had about 400 families decide to pre-register.  When they arrived at the event, they were directed to a separate line where everything was ready for them to pick up.

    Thanks, that's really what we're looking for in how other church's have handled it. Concerning the Check-in, on average, how long did people wait in lines?

    One thing you need to consider is how many people you are able to process per check in station on Sunday morning.  Our typical number we use is 100 people in a 15 minute period using assisted check in for regular attenders.  If this is truly an outreach event and you are expecting 9K in new people that will be a very large number of check in stations. 

    (I am going to try and be as honest as possible because I don't want you to suffer from lack of planning) 

    I would highly recommend using as many check in stations as you have.  Pre-registration for your members and regular attenders is going to be a must.  I would also recommend moving towards self check in as quickly as possible prior to this event so that the bulk of your regular attenders can check themselves in much quicker. 

    One last thing that might help is to remember that Fellowship One is One database.  So what you can do is use laptops to enter the data and then use your separate check-in stations to check-those individuals into the event.
