How do you schedule your volunteers?

    How do you schedule your volunteers?

     Hey Friends,

    As our church gets larger, I have a growing problem.  With 83% of our church membership & 41% of our regular attenders involved in ministry, often times keeping up with the scheduling of volunteers is really difficult. 

    If someone serves in children's twice a month and also is on the prayer team during the service once a month, keeping all of this straight becomes so confusing.  Especially when most ministries do their own scheduling.

     How do you schedule your volunteers?  Do you use F1 or another software?  I would love your feedback!

    Renee,

    My first suggestion would be to tell all ministries that when they schedule volunteers they should provide them with multiple choice selections of when they can work, vs. a fill in the blank type of answer. For instance, "Becky, we are excited to have you volunteering in our Children's Ministry, please select from the following schedule options: (you may choose one or more option) a) Every Sunday b) First Sunday of the Month c) Second Sunday of the Month, etc. This will help eliminate the headache of custom volunteer schedules and make your staffing assignments much easier in Fellowship One.

    Also, I would like to point out report M3516E which shows you ministry wide staffing assignments. This report will help you to see visually who has been double or triple booked and you can address those situations as needed.

    We have a couple of ways we schedule people.  We don't always use Fellowship One to keep up with the schedules that we have.  A lot of our ministries use an Excel spreadsheet instead of Fellowship One.  It just doesn't give us the options we need for all of our ministries.  Our prayer team has a "Not commited to a schedule" schedule that just happens every Sunday.  Our host teams schedule is by weekend.  The whole year is laid out and there are 4 teams - red, green, brown, and purple.  First weekend of the month is normally red, and the team serves the whole weekend - Sat. service as well as 2 services on Sunday.  Brown is normally 2nd weekend of the month and Green is 3rd weekend and Purple is 4th. The months there are 5th weekend or 5th Sundays, we alternate them between colors so that every team only has to do a 5th weekend every 4th time it comes around.  I don't know if that makes any sense or not.  Hope it helps!
